9. What is BOE (Building Operations & Experience) and why is it important?

Building Operations & Experience (BOE) is a modern approach to commercial real estate that creates spaces that work better for people. It combines Property Management (leases, rent collection, tenant relations), Building Operations (maintaining systems like HVAC, lighting, security), and Workplace Experience (designing spaces and adding amenities to enhance tenant experience).

BOE creates spaces where people want to be, not just need to be. Benefits include satisfied tenants, better retention, improved building performance, higher asset value, and competitive edge in the market.

How do costs compare between different office types and why can a Serviced Office be more economical than it seems?

A direct comparison requires the same area definition, quality, term, VAT treatment, occupancy assumption and services. For example, €450 rent and €75 service charges per m² per year can be used as illustrative model inputs, but they are not current market prices.

In a hypothetical model (excluding VAT) with 10 m² per planned workstation, €180 per m² per year for the listed operating items, and €500 per m² fit-out plus €2,000 furniture per workstation, traditional comes to €70,500 recurring per year for 10 workstations, €141,000 for 20 and €211,500 for 30. The corresponding one-time cash outlay is €70,000, €140,000 and €210,000.

With an equally hypothetical serviced rate of €600 per workstation per month, recurring amounts are €72,000, €144,000 and €216,000. This model does not establish that one form is cheaper: occupancy, term, fit-out, furniture, extra services, deposit, maintenance and exit costs change the outcome. The amounts are not a quote.

With managed and serviced space, scope differs by contract. Check which fit-out, workstations, internet, cleaning, meeting rooms, reception and other services are actually included. Decide using the same scope, cash requirement, expected occupancy and operational capacity.

When is it more cost-effective to rent a Managed or Traditional Office instead of a Serviced Office?

There is no supported team-size boundary at which Managed or Traditional is always more cost-effective than Serviced. For each scenario, compare recurring rent and services with one-time fit-out and furniture, deposit, term, occupancy, expansion needs and exit costs.

A Managed office may offer customisation, but fit-out, furniture and services may be paid by the tenant or provided contractually by an operator. A traditional office may offer more control but can require more internal operations and increase exposure to unused space. Request an itemised quote for each scenario; a preferred supplier or operator does not prove a lower total cost.

How much office space does my company need if I rent traditionally?

There is no universal area per employee. Required space depends on workplace policy, attendance, meeting rooms, storage, privacy and shared facilities. Use 10 m² only as an explicit assumption in your own model, not as a legal or general standard.

State the number of planned workstations and expected simultaneous occupants. Test smaller and larger scenarios, including circulation, collaboration, pantry, storage and shared rooms. With hybrid work, required area may be lower or higher depending on peak occupancy. Have the layout checked against the specific building, use and contract.

How flexible are the contracts for different office types?

Contract flexibility differs by product and agreement. A provider may offer different terms, notice periods, renewals, expansion rights or break options for Serviced, Managed or Traditional space. The ranges sometimes quoted in listings are examples from offers, not legal or general standards.

Read the completed agreement for term, notice, indexation, deposit, handover, subletting and early-exit costs. The current 2025 ROZ office-space model does not prescribe a five-year term for every contract; check the actual document.

What should I consider when choosing an office location?

Key factors include: proximity to your employees (central locations can improve satisfaction), accessibility for clients, good public transport connections, adequate parking, neighborhood amenities (restaurants, cafes, shops), building facilities (meeting rooms, lounges, fitness areas), whether the location fits your company image, growth possibilities, and budget considerations.

What facilities are typically included in Serviced and Managed Offices?

Standard facilities at Serviced Offices are usually:

  1. Reception area and associated services;
  2. Meeting, conference and break-out rooms and lounges;
  3. Equipped wet and/or dry pantry;
  4. High-speed internet and WiFi;
  5. Cleaning services, 24/7 building access, and security systems.

Premium facilities at Serviced Offices usually include:

  1. Cafe or restaurant in the building;
  2. Barista coffee service;
  3. Fitness rooms, showers and changing rooms;
  4. Outdoor terraces or gardens;
  5. Podcast studios;
  6. Event spaces;
  7. Bicycle storage;
  8. Networking community events.

What costs can I expect when renting an office?

Costs depend on the product and completed agreement. For Serviced, Managed and Traditional space, check at least base rent or workstation fee, service charges, energy, internet, cleaning, reception, meeting rooms, furniture, fit-out, maintenance, insurance, taxes, deposit, indexation and expansion or exit costs.

A monthly fee may bundle services, but “all-inclusive” does not automatically exclude exceptions or extra-use charges. A deposit or three months' rent is not a universal rule. Request an itemised quote, determine the VAT treatment for this product and keep recurring costs separate from one-time cash outlay.

Which type of office is best for my business?

No office type is always best based on team size alone. Serviced space may fit a need for quick occupation, shared facilities and flexible terms; check which services and workstations are actually included. Managed space may allow more control over the fit-out, but fit-out, furniture and services are contract-specific. Traditional space may fit long-term, stable use with a need for own design, but may require more upfront cash, management and tolerance for lower occupancy.

For your expected occupancy and term, compare total recurring cost, one-time cash outlay, deposit, VAT, flexibility and expansion or exit costs. Do not use fixed boundaries such as 20 or 30 employees without an underlying model.

What is the difference between Serviced, Managed and Traditional Office Spaces?

Serviced offices often bundle furniture, rent, internet, cleaning, reception and meeting rooms, but the exact scope, extras, deposit and term are set by the agreement. Managed offices may be delivered turnkey or otherwise; furniture, fit-out, internet, cleaning and reception are not automatically included. Traditional offices may be shell or turnkey, with the tenant potentially responsible for fit-out, installations and management.

Check the completed agreement and quote: which costs are one-time, which recur annually, which services are optional, and what applies to changes, subletting or handover? Term and conditions are not fixed standards.

How does YourSpace's rental service work?

YourSpace offers specialized rental services for Managed Offices, Serviced Offices, and office subleasing. We generate qualified leads through three channels: listings on YourSpace.ai, publication through our partner agency Carla Van Den Brink, and placement on Funda in Business. We guide you through the entire process, from professional photography and advertisements to viewings and contract signing, with our no-cure-no-pay model ensuring you only pay when we successfully find a tenant.

What is BOE and why is it important for landlords?

Building Operations & Experience (BOE) is a modern approach in commercial real estate that integrates property management, building operations, and workplace experience. For landlords, BOE is important because today's tenants increasingly seek offices with flexibility, services, and hospitality. By applying BOE principles, you enhance your property's attractiveness, improve occupancy rates, and maximize rental yields in today's hybrid work market.

What costs are associated with renting through YourSpace?

YourSpace works on a no-cure-no-pay basis. On a successful rental, a commission of 10% of net rent for the first 12 months applies. This is an in-house fee, not a market comparison. Before engagement, confirm the current fee, terms and whether they apply to your situation.

Listing on YourSpace.ai and with Carla van den Brink is offered without a listing fee under this service. Funda in Business options are available with amounts excluding VAT. Confirm current amounts, VAT and any administration fees before instructing.

What information do I need to provide to list my office space with YourSpace?

For an optimal listing, we require professional photographs (via WeTransfer), a brochure or description of the space, and detailed information about the available office units. Depending on the type of space (unfurnished, fully furnished, meeting rooms, coworking, or dedicated desks), we need specific details such as square footage, pricing, availability, minimum contract duration, and special features. Upon receipt, we will prepare a concept Agency Listing for your approval.

How long does it typically take to rent out an office space through YourSpace?

The rental period varies by situation and depends on factors such as location, district, size of the space, service level, and pricing. To set realistic expectations and prevent disappointment, we cannot provide a specific timeframe for how long it takes to rent out a Managed Office, Serviced Office, or Subleased Office. However, we use three different channels (YourSpace platform, Carla van den Brink, and Funda in Business) to ensure maximum visibility to the right target audience, increasing the chance of a quick match. With our no-cure-no-pay approach, landlords face no financial risk during the search for the right tenant.

How long does it typically take for a company to rent an office?

In our experience, the process time for orientating, visiting, selecting, negotiating, and renting varies by office type. For Managed Offices, Serviced Offices, and Subleased Offices, this timeline ranges from a minimum of 4 weeks to a maximum of 4 months. For traditional office spaces, this process is typically longer, with a timeline of at least 6 weeks to 6 months.

It's important to understand that the decision-making process is often influenced by these key factors:

  • The end date of the current lease obligation
  • Whether the company wants to relocate before their current lease expires
  • The match between the available budget and the desired district
  • The minimum lease commitment the tenant is willing to make and whether this is possible
  • The number of decision-makers involved in the process

What is the difference between Managed Offices and Serviced Offices?

Managed Offices are often offered differently from Serviced Offices, but the label does not determine the scope. Check the quote for furniture and for fit-out, internet, cleaning, reception, meeting rooms and maintenance that are included or charged separately. Area, deposit, term, indexation and notice also vary by agreement.

Serviced Offices more often bundle several services into one price, but exceptions and extras still apply. Compare total cash outlay and contractual scope; do not present a fixed team boundary or universal OPEX classification.

How can I make my office space more attractive for flexible rental?

Make an office more attractive by understanding the target tenant and actual need, providing a clear layout and reliable facilities, and describing terms accurately. Depending on the property, this may include meeting rooms, internet, reception, cleaning, hospitality, furniture or a suitable term; none is required in every building.

Assess an investment with your own calculation of additional income, cost, time required, expected occupancy and vacancy risk. There is no guaranteed or generally proven ROI for a specific change. Record assumptions, test low and high occupancy scenarios and compare payback with the risk that the investment is not recovered.

What are the advantages of flexible rental terms compared to traditional lease agreements?

Flexible leasing may offer benefits such as access to a broader tenant group, quicker adaptation to demand and potentially greater use of a space. Outcomes for occupancy, revenue and margin vary by property, target group, contract and operation.

There are operational duties and risks as well: more service and marketing work, fluctuating occupancy, vacancy between agreements, investment in fit-out and amenities, extra administration and contractual or liability risk. Calculate income and cost from property- and contract-specific data and test multiple occupancy scenarios.

Can YourSpace help sublease our excess office space?

Yes, YourSpace can help with presentation, finding candidates, viewings and discussing a sublease agreement. Subletting is not automatically permitted or free of legal checks.

Before publication, check the head lease and obtain the landlord's consent where required. Record permitted use and designation, term and notice, liability, maintenance, insurance, access, deposit, taxes, VAT and the relationship between head tenant and subtenant. KVK identifies subletting and these contract subjects as matters to arrange; have the specific agreement reviewed by a legal expert. The stated 6–24 month term is only a possible commercial arrangement, not a general rule.
